
Meet the Donor Statements app from Dialed In Data
Dialed In Data customers now have access to an application built for emailing donors/customers an itemized list of transactions from a particular date range. We were thinking these would be great for year-end donor statements, but they can also be used to send statements after an auction or other event.
How to get it: ask Jillian to install the app in your Salesforce org.
How to use it: follow the instructions below.
First, review and update the email template

- Navigate to the “Email Templates” tab in Salesforce
- Find and select the “Donor Statement Template” Email Template
- Pro tip: select “All Email Templates” in the left sidebar and use the email template search bar to locate the template
- Adjust the email to include the content and/or letterhead you prefer
- We recommend using the {{{Account.DID_Account_Inormal_Greeting__c}}} merge field where you would put first name
- You can also use the {{{Account.DID_Account_Formal_Greeting__c}}} merge field if you’d like to include a title above their statement (e.g. Statement of giving for: {{{Account.DID_Account_Formal_Greeting__c}}})
- Important: keep the {{{Account.DID_Statement_Table__c}}} merge field in the template, as this will display their statement of gifts
- Don’t forget to add a Subject
Next, confirm the sending email address
- Navigate to the “Email Donor Statements” tab in Salesforce
- In the “Helpful Information” right sidebar, the sending email address is listed after “Emails will be sent from:”
- Contact us if you’d like to change what email address these are sent from (this is also the email address replies will go to)
Optionally, do a test run
- Navigate to the “Email Donor Statements” tab in Salesforce
- Select “Yes” to the “Would you like to do a test run?” question
- Enter the email address you want those test runs sent to
- Enter a number (from 1-49) indicating how many test emails you want to go through
- Keep in mind: this will use email sends, currently limited to 5,000 per day
- Complete the rest of the prompts to send the test email
Last, generate the statements
- Navigate to the “Email Donor Statements” tab in Salesforce
- Complete the prompts
- On the second page, select the email template from above, and indicate which columns you’d like included in the donor statements, as well as column names/labels
- The third page provides a quick preview of the column headers, use the “Previous” button if you’d like to change any of them
- If those headers look good, click “Next” to generate the statements
Some notes on email sending times:
- Statements generated in bulk will send at 5:30pm – if it is after 5:30pm when you generate the statements, they will be emailed at 5:30pm the next day
- Contact us if you’d like to adjust this time
- If you elected to do a test run, the statements will send instantly
- If you used the “Send Donor Statement” button on an Account, the statement will send instantly
Sending a statement to one donor/customer:
- Navigate to the donor’s Account record
- Confirm there is a Primary Contact on the Account, and that the Primary Contact has a valid email address
- Click the “Send Donor Statement” button (accessed in the upper-right, where other buttons like “Edit” and “Manage Household” are located)
- Follow the prompts to send the statement
